EXECUTIVE ADMINISTRATIVE ASSISTANT (Full-time first shift), CHESTERFIELD, SC - Monday through Friday.
Job Summary
We are seeking a highly organized Executive Administrative Assistant to provide comprehensive support to the Executive Director. The ideal candidate will excel in office management, project coordination, and administrative tasks, meeting ensuring smooth daily operations. This role requires exceptional communication skills, attention to detail, and proficiency with various office software , tools, and the use of Artificial Intelligence. The Executive Administrative Assistant will play a vital role in maintaining efficient workflows, managing schedules, and supporting special projects to help our organization achieve its goals.
Duties
- Manage and maintain executive calendars, scheduling meetings, appointments, and events with precision.
- Coordinate and assist with event planning for company functions, conferences, and meetings.
- Prepare, proofread, and transcribe documents, reports, and correspondence with high accuracy.
- Handle phone etiquette for phone systems, screening calls and directing inquiries appropriately.
- Provide executive administrative support including filing, document management, and front desk responsibilities.
- Assist with project coordination by tracking deadlines, preparing agendas, and ensuring timely completion of tasks.
- Manage office supplies inventory and perform general office management duties to maintain an organized work environment.
- Support duties as needed for senior executives, including travel arrangements and personal scheduling.
- Utilize office productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) to prepare presentations and reports.
- Conduct proofreading of documents to ensure clarity and professionalism before distribution.
- Assist with special projects
- Perform transcription services for meetings or dictations as required.
- Support customer service efforts by addressing inquiries professionally and courteously.
Qualifications
- Proven experience in an administrative or executive assistant role with strong office management skills.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Microsoft Outlook Calendar, and DocuSign.
- Strong typing skills with high accuracy; experience with data entry is preferred.
- Exceptional communication skills
- Ability to coordinate multiple projects simultaneously
- Experience in event planning and project coordination is desirable.
- Demonstrated ability to handle confidential information discreetly.
- Office experience including front desk duties, filing systems, clerical tasks, and multi-line phone systems is preferred. This position offers an engaging work environment where organizational excellence is valued highly.

Qualifications: Acquire and maintain certification in First Aid, CPR, and CPI (Non-Violent Crisis Intervention). Subject to annual TB test. Valid Driver's license from state of residence and ability to operate motor vehicle for 15 passengers or less.
Job Summary: Serves as secretary/receptionist for program services. Performs routine office task to include; answering telephone, routing call and/or visitors, typing, filing, photocopying, completing supply requisitions, etc. Respects confidential nature of material.
Physical Abilities Include:
Climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting (patients with assistance) writing, reading, driving including nights, counting, work double shifts as necessary, running, and smell.
Physical Requirements Include:
Very heaving lifting with assistance visual acuity must be accurate to write and read small print and record data. A worker is subject to both indoor and outdoor environments and maybe subject to temperature extremes of heat and cold for short time periods. The worker is subject to noise and hazards including the possibility of physical assault, property destruction, and infections. The worker is subject to wear protective clothing to prevent exposure to infection.
Required Skills: High School Diploma, one year experience in clerical work and working with mentally or physically disabled persons is preferred. Microsoft, Excel, experience is a plus.
